Terms and Conditions


1.             Introduction

1.1          ‘London Book & Screen Week’ (the Conference) is organised and managed by Reed Exhibitions Limited (company number 00678540) whose registered office is at Gateway House, 28 The Quadrant, Richmond-upon-Thames, Surrey, TW9 1DN (the Organiser).

1.2          References to “us” mean the Organiser and references to “we” and “our” shall be interpreted accordingly. References to “you” mean the delegate completing a booking request for the Conference and references to “your” shall be interpreted accordingly.

1.3          All requests to register for the Conference are made subject to these Terms and Conditions and are subject to availability.

2.             Delegate Fees, Booking and Refunds

2.1          Delegate fees for attending the Conference and any relevant workshops and seminars are set out on the registration booking form or can be obtained from the Conference website or on request from the Organiser.

2.2          To attend the Conference full payment of the delegate fee is required from the delegate upon placing the ticket order and shall be paid by Credit or Debit card.

2.3          Notice confirming your place on the Conference together with a receipt will be sent to you by the Organiser by email in advance of the Conference within 1 working days of the Organiser’s receipt of your booking request. If payment has not been settled by cleared funds prior to the date of the Conference we will require full payment on site.

2.4          The Organiser reserves the right to cancel any booking to attend the Conference without giving reasons.

2.5          In the event that individual Conference sessions, workshops or seminars exceed capacity, places will be offered on a first come, first served basis.

2.6          Delegate passes/badges issued for use at the Conference are only valid for the named delegate and, subject to clause 2.7 below, cannot be transferred. The Organiser may request to be shown photographic identification of delegates during the Conference. If you cannot provide photographic identification matching your pass you may be asked to leave the Conference.

2.7          No refunds will be given if a delegate to the Conference cancels their booking or fails to attend the Conference. However, delegates may substitute another person in their place at no cost provided that this is notified to the Organiser on or before 5 April 2018.  To substitute another delegate, please email Hannah Jeal at Hannah.jeal@reedexpo.co.uk  with the following information:

  • your name
  • your email address
  • your job title and company name
  • the name of your replacement attendee
  • the email address of your replacement attendee
  • the job title and company name of your replacement attendee
  • the telephone number of your replacement attendee

2.8          You shall be entitled to a full refund in the event that the Conference is cancelled in its entirety by the Organiser or is cancelled due to circumstances outside the Organiser’s control. The Organiser shall not be liable for any flight and/or accommodation costs or for any other specific indirect or consequential loss, loss of profit, loss of business, depletion of goodwill or damage to reputation resulting from such cancellation. No refunds will be given for the cancellation of or changes to any individual session, workshop or seminar.

2.9          All delegates shall comply with the London Book & Screen Week Admissions Policy set out at http://www.londonbookfair.co.uk/en/Admission-Policy/.

3.             Conference Content

3.1          The Organiser reserves the right at any time to change the content, speakers, timing and venue of the Conference. Please refer to the online programme for the most up to date location and listings for the Conference: www.londonbookandscreenweek.co.uk/events

3.2          All rights in all presentations, materials and documentation published or otherwise made available as part of the Conference (Content) are owned by the Organiser or are included with the permission of the owner of the rights. No (i) photography, filming or recording; or (ii) republication, broadcast or other dissemination of the Content is permitted. You shall not distribute, reproduce, modify, store, transfer or in any other way use any of the Content (save that use by the relevant delegate for internal business purposes shall be permitted), and in particular (but without limitation) you shall not (and shall procure that each of your delegates shall not):

3.2.1         upload any Content onto any website, intranet or shared system or include any Content in a database;

3.2.2         transmit, re-circulate or otherwise make available any Content to any third party;

3.2.3         use the Content in any way that might infringe third party rights or that may bring us or any of our affiliates into disrepute; or

3.2.4         make any commercial use of the Content.

3.3          To the extent that any Content is published online by the Organiser, the Organiser reserves the right to remove or suspend access to such Content at any time.

3.4          The Organiser is not responsible for the Content of any speaker’s presentation, such Content is the opinion of the speaker and not of the Organiser.

4.             Data Protection and Privacy

4.1          By registering for the Conference you are consenting, under all relevant data protection legislation, to the Organiser communicating with you by telephone, fax, email and post and using your personal or company information for the following purposes:

4.1.1         the Organiser’s internal purposes which will include accounts processing and internal analysis of delegates;

4.1.2         publishing delegates’ company names on the Conference website, in the official catalogue for the Conference and/or in any other directory relating to the Conference or relevant industry, in each case whether in print, electronically or in any other media;

4.1.3         inviting you to other events organised by the Organiser or its group;

4.1.4         disclosure of information to contractors who provide services in respect of the Conference; and

4.1.5         disclosure or transfer to members of the Organiser’s group worldwide to allow the group to further develop its business and services to delegates.

5.             Liability

5.1          To the extent permitted by law, the Organiser’s aggregate liability to you, whether such liability arises in contract, tort (including negligence) or otherwise, for any damages, loss, costs, claims or expenses of any kind howsoever arising, out of or in connection with any Conference booking (or requested Conference booking) made by you or otherwise in relation to the Conference, shall be limited to the amount of the delegate fee.

5.2          The Organiser will not be liable under contract, tort or for breach of statutory duty or otherwise with reference to any matter arising directly or indirectly out of or related to any Conference booking (or requested Conference booking) made by a delegate or otherwise in relation to the Conference, for any indirect, consequential, incidental or punitive loss, damage or liability or for loss of profits, loss of business, loss of use, loss of data and loss of reputation.

5.3          You agree to indemnify, defend and hold harmless the Organiser and members of the Organiser’s group, its affiliates and their officers, directors, employees agents and affiliates from all damages, liabilities and expenses (and all legal costs including reasonable attorneys’ fees, court costs, expenses and settlements resulting from any action or claim) arising out of, connected with or resulting in any way from any act or omissions by you or your negligence during or otherwise in relation to the Conference.

5.4          Nothing in these Terms and Conditions shall limit or exclude either party’s liability for death or personal injury caused by its/their respective negligence.

6.             Compliance with Laws

6.1          You agree to comply with all applicable laws concerning bribery, corruption and related matters in connection with these Terms and Conditions and the Conference.

6.2          You shall not offer or accept any financial or other advantage as an inducement or reward for any act or forbearance in connection with business transacted in relation to the Conference or to these Terms and Conditions.

7.             General

7.1          These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales and the parties hereby submit to the exclusive jurisdiction of the English courts.

7.2          No partnership, agency, joint venture or employee/employer relationship is intended or created between us as a result of these Terms and Conditions.

7.3          These Terms and Conditions (together with any agreements or documents referred to herein or required to be entered into pursuant to these Terms and Conditions) embody the entire agreement between us and supersede all previous agreements and arrangements. No warranty, statement, representation, undertaking or provision which may have been made or given prior to the date hereof shall be binding on the parties unless the same shall have been expressly incorporated herein, save that this shall not affect the parties rights in respect of any fraudulent misrepresentation.

7.4          Save as set out in clause 2.7 above, you are not permitted to transfer, assign, re-sell or otherwise dispose of any of your rights or obligations arising under these Terms and Conditions.

General Website Terms and Conditions

This website (the “Site”) is operated and maintained by Reed Exhibitions Limited (“RX”, “we”, “us”, “our”), a limited liability company registered in England and Wales under company number 678540 and with VAT number GB 232 4004 20. Our registered office address is Gateway House, 28 The Quadrant, Richmond, Surrey, TW9 1DN.

These terms and conditions (“Terms”) form a binding contract between you and RX for your use of the Site and the services, features, content, products and applications offered by RX and various third parties on the Site.

By accessing or using the Site you confirm that you are 18 years old or over and indicate your acceptance of  these Terms, the Privacy Policy and any other guidelines and policies RX may publish on the Site from time to time, each of which is incorporated herein by reference. These Terms apply however you choose to access the Site, including but not limited to via a mobile phone, tablet, computer or digital television. If you disagree with any of these Terms you should stop using the Site immediately.

RX reserves the right to change, modify, add or remove portions of these Terms, the Privacy Policy and any other RX guidelines and policies posted on the Site from time to time at its sole discretion, with or without notice. Please check this page periodically for any modifications. Your continued use of the Site constitutes your acceptance of any revised Terms, and your use of the Site will be subject to the most current version of these Terms and the other policies and guidelines posted on the Site at the time of such use.  If you breach any part of these Terms, your authorisation to use the Site and its services will automatically terminate.

Copyright and Limitations on Use

All content in this Site, including site layout, design, images, programs, text and other information (collectively, the “Content”) is the property of RX and its affiliated companies or licensors and is protected by copyright and other intellectual property laws.

You may not copy, display, distribute, modify, publish, reproduce, store, transmit, create derivative works from, or sell or license all or any part of the Content, products or services obtained from this Site in any medium to anyone, except as otherwise expressly permitted under applicable law or as described in these Terms or relevant license or subscriber agreement.

You may print or download Content from the Site for your own personal, non-commercial use, provided that you keep intact all copyright and other proprietary notices. You may not engage in systematic retrieval of Content from the Site to create or compile, directly or indirectly, a collection, compilation, database or directory without prior written permission from RX.

You may not use any robots, spiders, crawlers or other automated downloading programs or devices to: (i) continuously and automatically search or index any Content, unless authorized by us; (ii) harvest personal information from the Site for purposes of sending unsolicited or unauthorized material; or (iii) cause disruption to the working of the Site. If this Site contains robot exclusion files or robot exclusion headers, you agree to honour them.

Any questions about whether a particular use is authorised and any requests for permission to publish, reproduce, distribute, display or make derivative works from any Content should be directed to RX.

You may not use the services on the Site to publish or distribute any information (including software or other content) which is illegal, which violates or infringes upon the rights of any other person, which is defamatory, abusive, hateful, profane, pornographic, threatening,  vulgar, erroneous, deceptive, fraudulent, false, misleading, offensive, indecent, obscene, unlawful, promotional of any crime or invasive of another’s privacy, that breaches any applicable law, that contains viruses or other harmful components, or which is otherwise actionable at law. RX may at any time exercise editorial control over the Content of the Site.

You may not, unless you are a Registered User, use the Site to publish or distribute any advertising, promotional material, or solicitation to other users of the Site to use any goods or services. For example (but without limitation), you may not use the Site to conduct any business, to solicit the performance of any activity that is prohibited by law, or to solicit other users to become subscribers of other information services. Similarly, you may not use the Site to download and redistribute public information or shareware for personal gain or distribute multiple copies of public domain information or shareware.

Trade Marks

All trade marks appearing on the Site are the intellectual property of their respective owners.

The LONDON BOOK & SCREEN WEEK logo, RELX Group and the RE symbol are trade marks of RELX Intellectual Properties SA, used under license.

Access to Services and System Reliability

Subject to these Terms, RX may offer to provide certain services, as described more fully on the Site, which are solely for your own use, and not for the use or benefit of any third party. Services may include any information content provided for or distributed to you (over the internet, in person during an event or otherwise), any services performed for you, and any applications offered to you, whether any such services are provided by RX or, subject to the terms set out under the “Third Party Sites, services and Links” section below, by third party providers authorised by RX.

RX reserves the right to withdraw or amend any service it provides on the Site without notice and shall not be liable for any reason if the Site remains unavailable for any period of time. RX aims to keep the Site available twenty-four (24) hours a day, seven (7) days a week and to maintain saved information. However, due to technical failures, acts of God or routine maintenance, availability may become limited and/or information may be lost. You acknowledge and accept that RX does not guarantee continuous, uninterrupted or secure access to the Site and that operation of the Site may be interfered with or adversely affected by numerous factors or circumstances outside of RX’s control.

Registered User Accounts

If you choose to register your details on the Site in order to submit details of your own event or in order to submit a blog post you will become a “Registered User.”  During the registration process, you will be asked to choose a password. You agree and acknowledge:

  • that your password and account details are personal to you and that you shall not disclose them to any third party;
  • that you will not permit any third party to use your account details to access services intended for Registered Users only and that you will take all steps necessary to ensure that your account details are kept secure and confidential;
  • that you will not create an account using a false name and details or impersonate another person when registering on the Site;
  • that you will notify RX of any unauthorised use of your account or any other breach of account security as soon as it becomes known to you; and
  • that you are solely responsible for your interactions with other Registered Users, third party developers or any other parties with whom you interact through the Site. RX reserves the right, however has no obligation, to become involved in any disputes.

Registered User Submissions

RX provides Registered Users with the ability to create, add, distribute and/or post content to the Site (“Submissions”).

In relation any Submissions, you:

  • acknowledge that the content found in your Submission will be in the public domain;
  • acknowledge that you may be publicly identified as a result of your Submission;
  • warrant that you are the creator of or own and control all of the content associated with your Submission or have full authority and permission from owners of any intellectual property right, title, or interest when submitting content and that therefore you will not submit any content which infringes the intellectual property or other rights of any third party or which is in breach of any obligation of confidentiality by which you are bound;
  • agree to pay any necessary royalties or other fees owed to any person or entity as a result of your Submission;
  • warrant you have permission to use the name and likeness of any identifiable individual person when making Submissions that pertain to any identifiable individual’s personal information;
  • grant RX an international, perpetual, non-exclusive, transferable, royalty-free, fully paid licence to use, reproduce, display, distribute and fully exploit your Submissions in connection with RX and its businesses in perpetuity, including but not limited to redistributing part or all of your Submissions in any media format and through any media channels, including those of third parties;
  • acknowledge that RX reserves the right not to publish any Submission and that RX may remove and/or delete any Submission without notice;
  • acknowledge and understand that RX has the right to edit, modify, excerpt or translate any part of any Submission and agree to waive all of your moral rights in your Submission;
  • acknowledge and understand that you are solely responsible for the content of any Submission;
  • will not make any Submission that is illegal, which violates or infringes upon the rights of any other person, which is defamatory, abusive, hateful, profane, pornographic, threatening,  vulgar, erroneous, deceptive, fraudulent, false, misleading, offensive, indecent, obscene, unlawful, promotional of any crime or invasive of another’s privacy, that breaches any applicable law, that contains viruses or other harmful components, or which is otherwise actionable at law and acknowledge and understand that RX is not responsible or liable for any such Submission;
  • acknowledge that RX reserves the right to share your identity with any third party who is claiming that any Submission violates these Terms; and
  • acknowledge and understand that RX cannot guarantee the identity of Registered Users or other users of the Site with whom you interact.
  • Without limitation, Submissions that are:
  • unsolicited advertising or use of junk, “spam”, or bulk transmission, or “phishing”;
  • intended to result in the transmission and/or distribution of a computer or mobile device virus; or
  • meant to impersonate any person or entity are prohibited.

RX reserves the right to monitor Submissions to determine compliance with these Terms and to refuse service and terminate accounts if they are found to violate these Terms.

Third Party Sites, Services, and Links

The Site may include links to websites which are owned and controlled by third parties such as RX’s partners or other online sellers and providers. Such links will navigate you away from the Site and you acknowledge that RX is not responsible for the content or availability of any linked website or any link contained in a linked site. The inclusion of a link on the Site does not indicate endorsement by RX of the linked website. Your use of third party sites and/or services is at your own risk and subject to the terms of use and privacy policies of each linked site, for which we are not responsible, which may differ from ours and which we recommend you read.

The Site includes certain services and products offered by third parties including, but not limited to, third party event organisers.  RX offers no guarantees and accepts no responsibility or liability in relation to any content, products or services provided to you by any third party and in such cases the legal contract for the provision of such services or products will be made directly between you and the third party.

Third Party Advertising

The Site contains advertisements submitted by third parties and these third parties are, notwithstanding RX’s approval, solely responsible for the content of such advertisements and for ensuring they comply with all relevant advertising laws. RX accepts no responsibility or liability for the content of any third party advertisements.

Disclaimer of Warranties and Liability

Neither RX, its affiliates, nor any third party content providers or licensors make any warranty whatsoever, including without limitation, that the operation of the Site will be uninterrupted or error-free; that defects will be corrected; that this Site, including the server that makes it available, is free of viruses or other harmful components; as to the results that may be obtained from use of the content or other materials on the Site; or as to the accuracy, completeness, reliability, availability, suitability, quality, non-infringement or operation of any content, product or service provided on or accessible from the Site.


To the extent permissible under applicable laws, no responsibility is assumed for any injury and/or damage to persons, animals or property as a matter of products liability, negligence or otherwise, or from any use or operation of any ideas, instructions, methods, products or procedures contained in the Site.



You hereby agree to indemnify, defend and hold RX, its directors, officers, shareholders, parents, subsidiaries, affiliates, agents and licensors harmless from and against any and all liability, losses, damages and costs, including, without limitation, reasonable legal fees, arising from your use of the Site or Content or arising from your Submission.

Governing Law and Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of England and Wales, without regard to its conflicts of law principles. You hereby submit to and agree that the sole jurisdiction and venue for any actions that may arise under or in relation to the subject matter hereof shall be the courts located in England.
